rda authority control

In November 2010, Backstage created several authority control options for processing RDA bibliographic records (040 $e). Since that time we have refined these options with help from our clients. Currently we have 5 separate options to choose from:

  • 1 - AACR2 & RDA against AACR2 only
  • 2 - AACR2 against AACR2; ignore RDA
  • 3 - AACR2 against AACR2; RDA against RDA
  • 4 - AACR2 & RDA against AACR2 (1st), RDA (2nd)
  • 5 - AACR2 against AACR2 (1st), RDA (2nd); RDA against RDA (1st), AACR2 (2nd)


Option 1 is our current default, which requires no action on the part of our clients. However, if a client is interested in RDA authorities, our recommendation would be Option 5, which represents the current LC/PCC standard.

In order to illustrate how each field is matched during these options we also created a separate table for this purpose:

A simplified version of the RDA Matching Option table is listed below with each option, while the more in-depth version lists what happens for each field in these 1XX, 6XX, 7XX, 8XX ranges:
1XX = 100, 110, 111, 130
6XX = 600, 610, 611, 630, 650, 651, 655
7XX = 700, 710, 711, 730
8XX = 800, 810, 811, 830

RDA OPTION 1

Inasmuch as there can be a default for authorizing your headings when it concerns RDA, this option may be a good starting point. This is useful for libraries that are not yet ready to embrace RDA (or never plan to do so).

AACR2 and RDA bibs are processed in the same manner for this option. Both are treated as if they were AACR2. Matching is made solely from the 1XX/4XX headings within the AACR2 authority. Matching headings are then updated with the 1XX version of the AACR2 authority.

Unmatched headings are added to a report and retained as-is within the respective AACR2 or RDA bib.

RDA OPTION 2

AACR2 bibs are matched to 1XX and 4XX fields in AACR2 authority records. Matched headings are updated to the 1XX form. RDA bibs are not processed in this option. They are separated and effectively ignored during processing. These ignored RDA bibs can be delivered separately or combined as desired. They can then be searched at a later date by the library.

RDA OPTION 3

AACR2 bibs are matched against 1XX and 4XX fields in AACR2 authorities. Matched headings are updated to the 1XX version.

RDA bibs are matched against 1XX and 4XX fields in RDA authorities. Matched headings are updated to the 1XX version.

Unmatched headings in AACR2 and RDA bibs are left unchanged and added to a report.

AACR2 bib headings are first matched against 1XX and 4XX fields in AACR2 authorities. Matched headings are updated to the 1XX form. Unmatched headings are then matched against 1XX and 4XX fields in RDA authorities. Matched headings are updated to the 1XX form.

RDA bib headings are also matched against the 1XX and 4XX fields in AACR2 authorities. Matched headings are updated to the 1XX form. Unmatched headings are then matched against 1XX and 4XX fields in RDA authorities. Matched headings are updated to the 1XX form.

Any AACR2 or RDA headings that are still unmatched are left unchanged and added to a report.

  2. RDA 1XX/4XX

RDA bib search order:

  1. AACR2 1XX/4XX
  2. RDA 1XX/4XX


RDA OPTION 5

This option follows the PCC/LC standards.

AACR2 bib headings are first searched against the 1XX and 4XX fields in AACR2 authorities. Matched headings are updated to the 1XX form. Unmatched headings are then matched against the 1XX and 4XX headings in RDA authorities. Matched headings will be updated to the RDA 1XX form in the RDA record. Any headings that are still unmatched are left unchanged and added to a report.

RDA bib headings are first searched against 1XX and 4XX fields in RDA authorities. Matched headings are updated to the 1XX form. Unmatched headings are then matched against the 1XX and 4XX fields in AACR2 authorities and matched headings are updated to the AACR2 1XX form.
